FLEXILOT CUSTOMER CARDS



OVERVIEW
Providing a function within your FlexiAuction software for the auction clerk to quickly
lookup/find a customer on the customer database by entering, scanning or swiping a
card presented by the customer.

This cards can be purchased directly from us, and you can then distribute it to
your customers when they attend your auctions. (and optionally charge the customer
for the card in order to recover your purchase of the cards from us)

If a customer presents you with a card that was issued to him/her by another auctioneer,
you will use the card to update your records, likewise other auctioneers
will update their own records if the card was issued to the customer by you.

The card is auctioneer neutral - It is NOT your card to identify your customers,
BUT rather an unique anonymous card that you, as well as your competitors,
can use to easily identify the customer that present the card to you.
(We specifically do NOT want any auctioneer branding/logos on the card, as our intention
is for buyers that attend different auctions to have one card in their purse, and not
a separate cards for all the different auction firms they attend)

CARD
The 85mmx45mm PVC cards is distributed and sold by us with a UNIQUE 6-digit alphanumeric
code, as well as a barcode and magnetic strip with the same corresponding code.

These card does NOT store any customer information, nor is the customer name or any customer
identification printed on the card. ONLY the unique card code, barcode, magnetic strip and
terms/conditions are printed on the card with our logo.

NO CUSTOMER INFORMATION IS SHARED, PROVIDED,SAVED OR STORED ON THE CARD.
NONE OF YOUR CUSTOMER INFORMATION WILL BE SHARED OR BE AVAILABLE TO
FLEXIAUCTION OR TO ANY OTHER AUCTIONEER OR FIRM.
THE CARD CODE IS USED AS A UNIQUE CODE TO LINK TO YOUR CUSTOMER RECORD ONLY.
VISION
As most auctioneers in South Africa is already using FlexiAuction, it makes sense that the cards
can be beneficial to the industry as a whole, as common goals can be achieved. E.g.

  • Registration booths where buyers can “swipe” card to automatically register.
  • Online or SMS registration prior to auction.
  • Livestock auctions: SMS booking of Kraal.

    OPERATION
    The auction clerk will be presented with a card



    The clerk will then

  • Type in the code as displayed on the card, or
  • Scan the card if you have an attached bar-code scanner, or
  • Swipe the card is you have an attached magnetic card reader


    to find the customer


    resulting in

    CUSTOMER FOUND
    Your customer is already linked to the presented card code,
    that customer will be displayed and you can continue with the registration/transaction

    OR

    NO CUSTOMER FOUND - CUSTOMER NOT IN DATABASE
    Create the new customer on your database by
    completing all relevant field and link him/her to the presented card code.
    (This will happen when the customer has never attended your auction)

    NO RECORD FOUND - EXISTING CUSTOMER WITHOUR CARD
    Existing custom that is not linked to a card code yet,
    Find the customer and link him/her to the presented card code.
    (This will happen when the customer was issued with a card by another auctioneer)



    This card code is now linked to this customer for quick lookups in future.

    we will however gladly provide assistance regarding your purchase)

YOUR FLEXILOT CARD WAS ISSUED TO YOU BY AN AUCTIONEER.

THE SOLE PURPOSE OF THIS CARD IS TO TO ENABLE THE AUCTIONEER
TO QUICKLY FIND YOUR DETAILS ON THEIR FLEXIAUCTION SYSTEM.

THE AUCTIONEER WILL SWIPE, SCAN, OR TYPE THE CODE PRINTED ON YOUR CARD,
TO SEARCH FOR YOUR CUSTOMER RECORD IN THEIR SYSTEM

IF YOUR RECORD IS ALREADY AVAILABLE IN THEIR SYSTEM
(BECAUSE THIS IS A RECURRING PARTICIPATION AT THAT AUCTIONEER),
YOUR CARD CODE WILL BE LINKED TO THAT RECORD,
IN ORDER TO MAKE FUTURE SEARCHING FOR YOUR RECORD FASTER.

IF YOUR RECORD IS NOT AVAILABLE IN THEIR SYSTEM,
(BECAUSE THIS IS YOUR FIRST TIME PARTICIPATION AT THAT AUCTIONEER),
THE AUCTIONEER WILL CONTINUE NORMAL REGISTRATION PROCEDURES
AND THEN LINK THE CARD CODE TO THE NEWLY CREATED RECORD,
IN ORDER TO MAKE FUTURE SEARCHING FOR YOUR RECORD FASTER.

YOU SHOULD BE ABLE TO USE THIS CARD AT ANY AUCTIONEER THAT USES OUR 
FLEXIAUCTION SOFTWARE. WE CANNOT GUARANTEE THIS HOWEVER.

PLEASE TAKE NOTE THAT NO PERSONAL INFORMATION IS STORED ON THE CARD.
ONLY A UNIQUE CODE IS PRINTED ON THE CARD  AND THAT SAME CODE
IS ALSO ENCODED IN THE BARCODE AND MAGNETIC STRIP ON THE CARD.

PROOF OF IDENTIFICATION WILL STILL BE REQUIRED AS 
PER NORMAL AUCTION REGISTRATION PROCEDURES. 
FICA (FINANCIAL INTELLIGENCE CENTRE ACT) REQUIREMENTS IN RESPECT OF THE 
ESTABLISHMENT AND VERIFICATION OF THE IDENTITY WILL STILL APPLY.

THE FLEXILOT CARD IS NOT A LOYALTY CARD, NO RIGHTS, DISCOUNTS OR
INCENTIVES ARE ASSOCIATED WITH OR GIVEN FOR MAKING USE OF THE CARD.
YOUR FLEXILOT CARD IS NOT A CREDIT OR DEBIT CARD AND AS SUCH
CANNOT BE USED TO MAKE PAYMENTS.

PLEASE REPORT LOST OR STOLEN CARD TO ALL THE AUCTIONEERS THAT YOU 
PARTICIPATED AT WITH THAT LOST/STOLEN CARD IN ORDER FOR THEM TO 
UNLINK YOUR CUSTOMER RECORD FROM THAT LOST/STOLEN CARD.

NONE OF THESE TERMS AND CONDITIONS OR YOUR POSSESSION OF A FLEXILOT CARD
IMPOSES ANY LEGAL OBLIGATION ON AN AUCTIONEER TO TRANSACT WITH YOU,
NOR DOES IT AFFECT THE AUCTION RULES OR TERMS AND CONDITIONS 
OF SALE OF AN AUCTIONEER. 

THE FLEXILOT CARD IS PROVIDED TO YOU "AS IS" WITHOUT ANY 
WARRANTY OF ANY KIND, EITHER EXPRESSED OR IMPLIED. 

TO THE FULLEST  EXTENT PERMITTED IN LAW, YOU UNDERSTAND, 
ACKNOWLEDGE AND AGREE THAT USE OF THE FLEXILOT CARD IS AT 
YOUR SOLE DISCRETION AND RISK.
